How we moved an Indonesian food safety audit body from paper to same-week digital reports

We deployed Acuitic Certify for an FSSC-focused audit body in Indonesia — field checklists (auditor app in rollout), photo evidence and faster non-conformity logging — so the same auditors could finish more jobs and SMEs could afford compliance more easily.

Figures, ROI and the quote below are examples pending written client confirmation. They are not verified outcomes.

ORGANIZATION

Who they are.

This Indonesian food safety audit body works under FSSC 22000 and related schemes for SME processors, dairy sites, organic producers and co-ops. Roughly fifteen auditors and a small office team used to complete on the order of 500–550 audits a year. Clients needed affordable compliance; the team was still running largely on paper.

THE SITUATION

Where processes broke down.

Auditors carried clipboards, wrote findings by hand, took photos on personal phones and messaged notes to the office. Staff then typed reports, sorted photos and issued certificates. A single audit often meant a full field day plus several hours of office work.

Traceability checks meant hunting supplier invoices, shipping notes and production logs across binders and WhatsApp. Non-conformities sometimes only appeared clearly in the final report days later, when context was already cold.

Capacity sat around fifty audits a month while more requests came in. Growing further on paper meant more auditors and more typing — not a better process.

Before

  • Paper checklists and personal phones for evidence
  • Long field day plus several hours of office typing per audit
  • Traceability checks by manual cross-reference
  • Non-conformities often finalized days later
  • About fifty audits a month; demand higher
  • Photos and notes hard to retrieve later

After

  • Field checklists (app in rollout) with tagged photos on a shared device or tablet
  • Shorter field capture; reports drafted from the same data within days
  • Guided traceability steps with clearer gaps flagged on site
  • Non-conformities logged while still on site when possible
  • Roughly seventy-five audits a month with the same auditor count
  • Evidence searchable against the audit record
HOW WE SOLVED IT

What Acuitic Certify changed.

We put auditors on facility-appropriate checklists in Certify — mark items, attach photos with time and location where available, and dictate short notes.

Traceability prompts guide batch and supplier checks so gaps are noted with evidence before leaving site.

Non-conformities are categorized on the spot where possible. Reports assemble from captured data; sign-off happens digitally. The office reviews exceptions instead of retyping every page.

RESULTS

About six months after we rolled out field capture.

Capacity. Monthly completed audits moved from around fifty into the mid-seventies without adding auditors — mainly by cutting typing and rework.

Traceability. On-site checks that used to stretch toward two hours are often done in under an hour with clearer records of what was reviewed.

Findings quality. Logging non-conformities on site keeps photos and notes tied to the issue. Clients hear about problems sooner.

Pricing. Lower cost per audit let them bring typical SME fees down by roughly a quarter while protecting margin through volume.

Trust. Photo-backed, timestamped reports are easier for producers to accept and act on.

Paper meant we typed half the audit again at the office and producers waited days. Now the checklist and photos are already in the system, and we can send a clear report the same week. That is how we took on more work and still offered SMEs a fee they can live with.

COMPETITIVE POSITIONING

What changed in the market.

  • Faster reports. Same-week reporting beats competitors still taking a week or more to type everything up.
  • SME-friendly pricing. A lower fee opens producers who previously delayed certification on cost.
  • Evidence clients can see. Photos and timestamps reduce “he said / she said” arguments on findings.
  • Scale without a hiring spike. More audits per auditor means busy seasons are less of a scramble.
  • Earlier corrective action. Findings raised sooner give producers more time before follow-up visits.
