Electrical safety, Malaysia
How we cut certificate turnaround from two weeks to under a week for a Malaysian testing lab
We deployed Acuitic Certify for an electrical safety testing body in Malaysia — web ops plus field capture (auditor app in rollout) and centralized certificate generation — so they could take on more work without adding a full office team.
Who they are.
This electrical testing and certification body has operated for over two decades, with three laboratories in Malaysia and roughly 900 active industrial and manufacturing clients. They run a few thousand electrical safety audits and product certifications a year. Demand was rising, but work still moved through spreadsheets, email chains, paper checklists and manual certificate prep.
Where processes broke down.
Field auditors often called the office several times a day for client details, scope or past findings. Office staff spent a large share of the day on the phone instead of clearing completed jobs.
After an inspection, data was re-typed into costing, then passed through QA and finance before a certificate could go out. A typical job took about two weeks. Incomplete field notes meant rework on a noticeable share of audits.
Each branch kept slightly different quote templates and certificate formats. Management had little live view of turnaround or bottlenecks. Preparing for an external audit meant days of digging through email and shared folders for approval trails.
Before
- Auditors calling the office several times a day for task details
- Roughly two-week certificate cycle (entry → QA → finance → sign-off)
- About 15–18% of audits needed follow-up for missing data
- Limited cross-branch visibility on quality or turnaround
- Audit prep measured in days of file reconstruction
- More volume meant hiring more admin staff in lockstep
After
- Auditors open assignments with client context on a phone or tablet
- Typical certificate cycle around seven days, with fewer late surprises
- Rework on incomplete field data down to low single digits
- Shared dashboard across the three labs
- Audit trails available from the system instead of reconstructed email chains
- Higher volume absorbed with one additional part-time admin, not a full new team
What Acuitic Certify changed.
We gave auditors assignments for field capture (auditor app in rollout) with client details, scope and recent history. Photos, measurements and findings go into Certify and sync when connectivity allows.
Completed jobs enter a structured QA queue we configured with them. Missing fields are flagged before certificate generation. Certificates use one template set, with digital sign-off and a timestamped trail.
Clients check status in a portal instead of emailing for updates. Managers see open jobs and turnaround by branch without chasing spreadsheets.

Illustrative figures — not verified client metrics.
Turnaround. Most certificates now leave in about a week instead of two. Urgent jobs still need care, but the backlog is easier to see and clear.
Quality. Fewer certificates bounce for incomplete field data. QA spends more time on genuine exceptions and less on chasing missing photos or notes.
Auditor time. Auditors waste less time on phone calls and paperwork, so a modest increase in jobs per day was realistic without longer days.
Growth. They accepted more work in year one without matching that growth one-for-one with office hires. Cost per inspection moved down as admin overhead thinned.
Compliance prep. External audit prep dropped from multi-day digs through email to pulling trails from the system.
We were losing days to coordination — auditors calling in, data in three places, certificates stuck in review. With Certify the field team has what they need on the device, and we are usually signing certificates inside a week. That is what let us take more work without building a bigger admin desk.
ROI and payback.

| Implementation & setup | USD ~28,000 |
| Year 1 platform license | USD ~18,000 |
| Admin time saved (less re-entry & chasing) | USD ~24,000 |
| Extra margin from higher throughput | USD ~55,000 |
| Lower external-audit prep cost | USD ~6,000 |
What changed in the market.
- Faster turnaround as a sales point. A roughly one-week certificate cycle is easier to sell against competitors still quoting two weeks or more.
- Leaner ops as volume grows. They can grow inspection volume without hiring admin staff at the same rate.
- Cleaner evidence for audits. Timestamped approvals and one system of record make accreditation prep less painful.
- One view across branches. Managers see where jobs stall before clients start chasing.
- Consistent certificates. Shared templates reduce branch-by-branch formatting drift.
